MediQo now allows clinics to control the specific hours and days that the AI Receptionist can actively book appointments.


This feature gives practices greater flexibility over appointment allocation and workflow management.

What Is This Feature?

The Custom AI Booking Hours Feature allows clinics to:


  • Define specific days the AI can book appointments

  • Set time windows when AI booking is active

  • Reserve certain appointment blocks for walk-ins

Ensure complex bookings are handled by human staff

Why Would a Clinic Adjust AI Booking Hours?

Some common reasons include:


  • Reserving appointments for walk-in patients

  • Keeping certain time blocks for urgent care

  • Managing specialist or complex appointment types manually

  • Aligning AI bookings with staffing levels

  • Supporting a hybrid reception model


This allows clinics to optimise access while maintaining control.



What Happens When Patients Call Outside AI Booking Hours?

If a patient calls outside configured AI booking hours:


  • The AI can still interact with the caller

  • It will suggest available appointments within approved booking windows

  • If necessary, the call can be routed to a human receptionist


This ensures patients still receive helpful information without disrupting clinic preferences.



Does This Require IVR Changes?

No.

There are no required changes to your clinic’s IVR configuration.

The AI Booking Hours feature operates within your existing phone system setup.

How to Activate or Adjust Booking Hours

To modify your AI booking hours:


  1. Navigate to AI Receptionist Settings from your practice manager login in MediQo

  2. Click the ‘Clinic Rules’ button on the left hand side

  3. Configure as appropriate
